Clients Checking in for their Appointment

After setting up your Ruh Care account, you are ready to start working with clients. Clients can access their Ruh Care Client Portal from both the web and mobile browser. It's the same website login that you use as a clinician, but clients will use their own email and password to log in.

This article covers best practices when meeting with your client(s) for the first time.


βœ… Confirm Client Portal Access

When a client books an appointment or is manually added by a therapist, they automatically have a Ruh CareClient account created for them. In most cases, clients receive an email, inviting them to log into their account by creating a password.


βœ… Adjust the Appointment Status to Occurred

From your Calendar, you can click on the appointment and adjust the status to "Occurred." This can help with keeping accurate track of all of your appointments and will tie into your Appointments Report.

After each session, clients will ONLY be charged once the therapist marks the session as "Occurred" in the calendar. Clients will be charged after 48 hours.


βœ… Book the Next Session During the Call

It's recommended that therapists book the client for their first session at the end of the intro call. Additionally, we advise scheduling new clients for weekly sessions for at least 4-6 recurring appointments to establish continuity of care.


βœ…Discuss Insurance Coverage

During the intro call and when booking the first appointment, it's important to discuss insurance coverage. Since some insurance companies may not provide coverage, therapists should ask the client to check with their insurance provider to confirm coverage under their license. Clients can also be advised to email [email protected] for any insurance-related questions.
