Clients Adding Appointments to their Calendars

Once a client is booked for an appointment (either self-booking or manually booked by a therapist), they will receive a confirmation email.

Using Ruh's Calendar feature, there are various ways that client appointments can be booked. Ruh Care is designed to make the booking process simple for both therapists and clients.

Once a client is booked for an appointment (either self-booking or manually booked by a therapist), they will receive an appointment confirmation email.

In the session details, there is an option for clients to add their appointments to their calendars (iCal, Google, Outlook). They can choose the calendar they prefer, and an event will automatically be created. Ruh Care does not currently support having appointments automatically added to client's calendars, but rather, makes it simple for clients to manually add the event.


Booking The First Session after The Intro Call

After conducting an intro call with a new client, the next step is to schedule the first full session. The Ruh Care platform helps streamline this process:

  1. Complete Required Forms: Before the client can book their first session, they must complete the intake and consent forms that were automatically sent to them. These include forms such as Informed Consent & Confidentiality, Initial Consultation, Billing Info, and Therapy Intake. Ensure the client has filled out these forms to move forward.

  2. Schedule the First Session: If the client has completed all required forms, you can proceed to book the first session yourself at the end of the intro call.

  3. Forms During the Session: If the client has not completed the required forms before the intro call, you can complete them together during the session. This will ensure the client can proceed with booking further sessions.

  4. Confirm the Session: Once the first session is scheduled, Ruh Care will automatically send confirmation and reminder emails and texts to the client. Ensure that the client is aware of the date and time of the first session and that they receive all necessary reminders.

Quick Tip

  • We encourage therapists to book the next appointment at the end of their session with the client to avoid frequent rescheduling.
