Roles and Responsibilities
Therapist:
Deliver clear Islamically aligned psychoeducation event/workshop.
Represent Ruh professionally (tone, language, visuals, and conduct) feel free to refer to the Scripts and Tips for Representing Ruh at Events Help Centre Article.
Promote Ruh as a mental health resource as applicable.
Share slides and any supporting materials with the Event Coordinator and Marketing Team at [email protected] 7 days before the event.
Event Coordinator:
Act as main point of contact between partner and therapist coordinating all communications.
Ensuring any materials are reviewed prior to sharing with partner to confirm all materials meet Ruh and partnerâs requirements shared in the discovery call.
Negotiate event scope and send event agreement for signing.
Invoice partner to collect honorarium for the event.
Marketing:
Ruh-ify and polish the slide-deck/resources developed to share finalized version(s) with therapist 2 days prior to event.
General Guidelines
Ruh events are psychoeducation and community support, not therapy sessions.
Maintain clinical boundaries and participant safety.
Ensure all content shared is Islamically referenced, clinically appropriate, and evidence based.
Communication Channels
Primary channel
Therapist <> Program Team WhatsApp group (internal) is the default for fast coordination and internal logistics once the event is confirmed (Therapist + Events Coordinator + Marketing).
Event Planning WhatsApp group (external) - exists when requested, is the default for planning event details with partner (Partner + Therapist + Events Coordinator + Marketing).
Email is used for final materials + approvals (slides, flyers, formal confirmation).
Response time expectations
Your response time: within 24 hours on weekdays.
If you canât meet a deadline or something changes, notify the Events Coordinator immediately.
Who communicates what
To ensure alignment with initial requirements and partnership scope, therapist does not independently finalize event details with the partner.
All changes to title, description, timing, format, recording, or marketing copy is to be routed through the Events Coordinator.
Event Coordinator liaises between Marketing + Clinical + Partner as needed.
Event Coordinator is solely responsible for honorarium negotiation and collection. If a partner reaches out to you directly please redirect them to reconnect with Event Coordinator.
Materials + Slide Deadline Policy
Required deadline
Slides and any supporting materials are to be shared with the Event Coordinator 7 days before the event (by end of day, therapist local time).
Reason: partner review + Ruh brand/marketing edits + accessibility/quality check.
If slides are late
If slides are not submitted by the deadline, Ruh may:
use a standard Ruh template and request the therapist deliver from it, or
reduce marketing output (no redesign), or
reschedule or cancel if quality/partner expectations are at risk.
Slide standards
Use Ruh slide template (provided).
Include a self introduction slide.
Keep wording simple, participant-friendly, minimal text blocks.
No identifying client stories. No clinical case details.
Content Boundaries + Safety
Whatâs allowed
Psychoeducation, coping tools, general guidance, reflective exercises, grounding practices.
Light Q&A with general responses.
Whatâs not allowed
Individual clinical advice (âwhat should I do about my diagnosis/meds/marriage crisisâŚâ)
Asking for or discussing personal trauma details in public settings
Any participant âprocessingâ that turns into a therapy session
Focused political takes on world events
Feel free to say
âI canât offer individual clinical advice here, but I can share general information.â
âIf youâre looking for personal support, please reach out to Ruh to book a session.â
Escalation
If a participant presents a safety concern during/after the event:
notify Events Coordinator immediately
follow Ruh clinical escalation protocol (as provided internally)
Event Day Professional Standards
Join/arrive 15 minutes early (virtual or on-site).
Use Ruh-approved Zoom background (virtual) - kindly request one from the Event Coordinator if you do not already have one.
Ensure your slides are already in full-screen view on a separate window ready to share.
Ensure phone is on Do-Not-Disturb.
Dress: professional, aligned with community context.
Maintain calm tone, respectful language, no sarcasm at participantsâ expense.
If tech issues arise, therapist flags Events Coordinator immediately.
Changes, Cancellations, and Emergencies
If you need to cancel: notify Events Coordinator ASAP.
Ruh will attempt backup coverage, but late cancellations may require rescheduling or partner apology workflow.
Post-Event Requirements
Within 48 hours after the event, you are to provide:
Submit total prep and delivery hours in the additional payments form ruhcare.com/additional-payment to receive event reimbursement.
